Electronic Signed Instructions: Taking the Legal Headache Off the Owner's Shoulders

Safety training on rental assets is usually explained verbally — and you're left on your own with that if something happens. RentOS has the "Instructions" module: the Owner writes an instruction once, and after that everyone who reviews it leaves a real electronic signature — with a date, time, and data you can produce if needed.

A Link Instead of a Paper Form

An instruction has a public link and a QR code — anyone can open and read it, with no login and not even an employee account. That's deliberate: the signer is always treated as an outsider who enters their own data by hand, even if they really do work for you as an employee. At the bottom of the page: a consent statement, "Full Name" fields, phone, date of birth, and a field to sign right with a finger or a mouse.

The System Records More Than Just "I Agree"

Along with the signature, the server automatically records the date and time, IP address, device and browser, exactly how long the person spent reading the text, and which version of the instruction was in front of them at that moment. There's also a separate "honesty check" setting: if it's turned on, the confirm button stays disabled until the page has been scrolled all the way to the end.

Edit the Text — Old Signatures Don't "Drift"

If an instruction gets edited, that creates a new version, and every signature already collected stays tied to the version of the text that was in effect at the moment it was signed. The log immediately shows whose signature is out of date, and the Owner can request a re-acknowledgment — the new signature is added as a separate entry, without overwriting the old one.

A Document You Can Actually Produce

For any log entry, you can download a ready-made PDF: the consent text, date, IP, the signature image — followed by the full text of the exact instruction version the person signed. The document is self-contained: there's no need to separately prove that this specific edition of the rules was shown to them.

The Owner Finds Out Right Away, Not After the Fact

Every new signature is immediately sent to the Owner as a notification — in Telegram, by email, or as a push, depending on what's connected. No need to log in and check the log by hand to find out whether a new employee has reviewed the rules yet.
