An event is a party, quest or workshop with a date, places and tariffs: for example, Halloween on October 31 at 17:00 for 20 children. People book in advance and pay when they arrive. Events live inside a zone in the "Tickets" mode (), so the money goes into the same cash register and the same results submission.
The calendar opens in the "More" menu → "Events". It shows all of the company's events by day, starting today: for each one you can see the time, the zone, how many places are taken and how many bookings are still unpaid.
How to create an event #
- Open "More" → "Events" and tap "Add".
- Choose the zone and the asset if there are several. The asset is needed for reports and for the staff member's asset lock, for example "Quests" or "Parties". A zone without assets doesn't appear in this list.
- Enter the title, date and time. On a phone the familiar calendar and clock will open.
- Specify how many places. If there's no limit, leave the field empty.
- Add the event tariffs, for example "Child" and "Adult". For a tariff that doesn't take a place (usually adults), turn off "Takes a place": then capacity is counted in children only. The asset's tariffs don't apply to the event, but the "Copy asset tariffs" button fills them in as a starting point.
- Optionally write a note for staff and save.
Several dates of the same party are easy to set up with "···" → "Duplicate": the copy opens with an empty date, and you just pick a new one.
How to take a booking #
Open the event and tap "New booking". Enter the name and phone number, just like in a notebook, and how many places at which tariffs. If the person is already in the database, tap "Customer" next to the name and pick them: the name and phone fill in by themselves, and the button lights up. The booking gets a number, for example "Booking #7", which you can give to the person. A booking has nothing to do with money: until it's paid, it doesn't get into revenue or the cash register.
The tag icon () on the booking card opens the note and the link to a client from the database, just like on a wristband in Stays. A note is handy for "Instagram" or "arriving at 18:00". A linked client who has connected Telegram gets a booking confirmation and a reminder before the party.
Only a staff member at the point can accept payment: the owner has no "Pay" button. If a customer is linked to the booking, paying from the balance opens their wallet right away.
Who's coming #
The event card shows everyone: unpaid bookings on top, paid orders below. Above the list there's a summary: how many bookings are unpaid, how many are paid and for what amount, how many people have already arrived. You can find a person by name, the last digits of the phone number or the booking number.
How to reschedule an event #
"···" → "Reschedule": choose a new date and time. Bookings and paid tickets move together with the event, the reminder will arrive for the new date, and linked clients get a message about the change.
How to cancel an event #
"···" → "Cancel event". Before you confirm, the app shows what will happen: how many bookings will be lost and how much money needs to be returned. Balance payments go back to the client's balance automatically. Hand back cash and transfers yourself: they will already be recorded in the cash register as a refund. Linked clients get a cancellation message.
What to Do If… #
…there aren't enough places, but someone wants to come? You can book beyond capacity too: the places counter turns red and the app asks "Are you sure?" once.
…there's no "Events" item in the menu? It appears once you have at least one zone in the "Tickets" mode. If you don't have a separate zone for parties, create a "Parties" zone in the "Tickets" mode and add one asset to it. The asset doesn't need tariffs: events have their own.
…where do past events go? The day after, an event disappears from the calendar together with its unpaid bookings. Paid orders remain: in reports and in "Daily results" they show the party's name and date, for example "Halloween 31.10 · Child".
…changed a tariff after people had already booked? For those already booked, the price stays the same as at the time of booking.
